Clients and contacts

One record per company, many people inside it. Get this structure right and portals, invoices, and permissions all line up on their own.

5 min readUpdated 24 Jul 2026For agencies

A client is the company you invoice. A contact is a person who can be invited to a portal. Keeping them separate means a contact can leave without taking your project history with them.

01

How the records fit together

Everything in LynxRise hangs off the client record. Portals, projects, files, and invoices all reference it, so changing a company name updates every surface at once.

Client

The company. Holds billing details, currency, tax number, and default payment terms.

Contact

A person at that company. Holds email, role, and portal access.

Portal

The client-facing space. Belongs to one client, invites many contacts.

Project

A body of work attached to one client and surfaced in their portal.

02

Create a client

Add the company under Clients → New client. Only the name is required, but filling in billing details now saves editing every invoice later.

  • Currency and terms become the default on every new invoice

Add contacts and give them a role

Add each person you deal with, then mark one as primary. Roles decide what they can reach when you invite them to the portal.

Tags, notes, and internal context

Tag clients by retainer, sector, or status so your list stays useful past twenty rows. Internal notes are never visible in the portal.

  • Filter the client list by any combination of tags
  • Notes support @mentions to alert teammates
  • Use tags to drive your own reporting views

Archive, restore, merge

Finished engagements should leave your active list without deleting the history you may need for accounting.

  • Merge duplicates to combine contacts, projects, and invoices
  • Merging is not reversible — check both records first
  • Archived clients are excluded from active revenue views
